# Job Descriptions for the Roles You Hire Every Month

A job description template sets out why a role exists, its duties, what the person may decide alone, who they report to, what they need at hire and the working conditions. It is for owners and managers who rehire the same roles often, and its training appendix turns the same page into a plan for the first week.

## A job description template, in short

A job description template is the one-page definition of a role: its purpose, the duties it repeats, the calls a person may make without asking, the reporting line, what is needed at hire and the conditions of the work. Owners and managers who repeatedly hire for the same roles fill it out once per role. Elvina starts from its training appendix: she fills a sample duty for the role you name with placeholders, then drafts a lesson, a job aid and a first-week readiness check for each duty, available now.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## When to use it

Use it each time you hire for a role again, before you post an ad or brief a trainer. Without one, every hire learns a slightly different job, and nobody can say what the person may decide alone. Write it once per role and update it when the work changes. Elvina does not write job ads, recruit or decide who is hired.

## How to fill it out

Write the purpose as a single sentence, then list the duties the role repeats, most frequent first. For each duty, say what the person may decide alone and what needs a manager. Split the requirements into what someone must bring on day one and what you will teach, so you do not screen out people you could train.

Then add the working conditions and the training appendix: the duties a new hire must do alone by the end of week one, each with a standard, a check and a teacher. Fill in the duties in the blank template below, then check them against the filled example. A fictional paint store with a busy color desk filled in the header fields, the appendix and one duty.

- Job title and reports to: color desk associate, reporting to the store manager
- Purpose: every customer leaves with the right color, finish and amount for the job
- Needed at hire: can lift a full five-gallon pail and work two Saturdays a month
- Taught after hire: tinting, color matching and product knowledge
- Working conditions: standing most of the shift, near tinting machines, Saturdays included
- Training appendix: tint from a formula · standard: the dried sample matches the chip · check: the manager compares three orders · teacher: the assistant manager

Duties with authority and limits, one sample row

| Duty | How often | Decides alone | Asks a manager first |
|---|---|---|---|
| Tint paint to a customer's color formula | Every shift | Remakes a can whose dried sample does not match the chip | Refunds on tinted paint, and matching a color from a photo |

## How to read the result

A good job description fits on a page or two, and every duty has a clear limit. A duty with no limit leaves new people asking about everything or deciding things they should not. If a requirement could be taught in the first week, move it to the taught list. The O*NET database, sponsored by the U.S. Department of Labor, lists typical tasks for each occupation it covers. Compare your duties with it to catch anything big you missed, then keep the appendix to what week one really needs.

## Where a person decides

Elvina works from the training appendix, not from the whole job description. For each first-week duty, Creation Studio drafts a lesson and a job aid from your procedures in Company Knowledge. A manager approves both before they are assigned on the Learning Platform. A first-week readiness check built from the same duties is available now. You decide who is hired, what the role pays and when the new person works alone, and Elvina makes none of those calls.

## Who this is not for, and when another tool fits

### This is not the right fit if

- You need a job ad written or candidates found.
- You want Elvina to decide who is hired or what the role pays.
- The role is new and nobody has done the work yet.

### Another kind of tool may fit better

- A recruiter or your hiring platform, for job ads and screening applicants.
- An HR consultant, for pay bands and how a role is classified.

## Questions

**Q:** What should a job description template include?

Start with why the role exists and who it reports to. Then list the duties with what the person may decide alone, the requirements at hire, what you will teach and the working conditions. A training appendix names the duties a new hire learns first, with a standard and a check for each.

**Q:** How is a job description different from a job ad?

A job ad sells the role to applicants. A job description defines the job for the person doing it and their manager: duties, limits, reporting line and requirements. Write the description first, and the ad can borrow its purpose line, duties and requirements.

**Q:** Can Elvina write job descriptions for me?

No. You write the description, and Elvina does not write job ads or recruit. Once the training appendix is filled in, Creation Studio drafts lessons, job aids and checks from it and from your procedures, and you approve each one before anyone sees it.
