# A Shift Handover Nobody Has to Rewrite

A shift handover template is a short, fixed form the outgoing lead fills out so the next shift knows what is open, what is broken and what to do first. It is for owners and shift leads in businesses where the work runs across several shifts a day.

## A shift handover template, in short

A shift handover template is a fixed set of fields the departing lead completes at the end of a shift: open issues and owners, equipment trouble, stock and deliveries, staffing gaps and the first job for the next lead, who initials it after reading. Owners and leads in businesses with several shifts a day use it. Elvina fills a sample handover for one lead with placeholders and drafts a lesson on writing one and a front-desk job aid, available now. Staff asking her about a handover in chat is planned, not available today.

Because the fields never change, every handover reads the same, whoever writes it.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## When to use it

Use it at every change of shift where work carries over: a customer waiting on something, equipment acting up, a delivery that did not arrive. It matters most when shifts barely overlap and the two leads may not speak at all. Keep the form where both shifts can reach it, on a clipboard at the front desk or in a shared file.

## How to fill it out

Keep the empty CSV log from this page where both shifts can reach it. The outgoing lead adds a row near the end of each shift, and the incoming lead initials it after reading. Its filled row is from a fictional dog boarding kennel with day and night staff. Write facts and owners rather than stories, and write none instead of leaving a field blank.

- Date and handover time: when the shift changed hands.
- Shift and outgoing lead: which shift is ending, and who wrote the row.
- Open issues: anything a customer or vendor is waiting on.
- Equipment: what is down or acting up, and who was called.
- Stock and deliveries: what is low, what arrived and what is late.
- People: who called out and how the gap is covered.
- Do first: the one task the next lead should start with.
- Received by: the incoming lead's initials, added after reading the row.

Shift handover log

| Date | Handover time | Shift and outgoing lead | Open issues | Equipment | Stock and deliveries | People | Do first | Received by (initials) |
|---|---|---|---|---|---|---|---|---|
| Oct 3 | 7:05 am | Night shift, Marcus | Biscuit's owner now picks up at seven instead of noon; the bill is printed | Gate latch on run 4 sticks; handyman booked for the morning | Low on the sensitive-stomach food; order arrives Thursday | Day attendant out sick; the owner covers the morning walks | Move Biscuit to the front run before pickup | D.K., day lead |

## How to read the result

The incoming lead reads the form before starting and initials it, so the outgoing lead knows the handover landed. Over a few weeks, the same item returning in the equipment or stock column points to a process problem, not a shift problem. A do-first task that passes from shift to shift without being done needs an owner above both leads.

## Where a person decides

Leads decide what goes on the form and what to escalate; the template only makes the handover consistent. To teach the habit, give Elvina the template and a few strong completed handovers as sources in Company Knowledge. Elvina then drafts a short lesson on writing a handover and a front-desk job aid, both available now. A manager approves them before new leads get them on the Learning Platform. Answers to handover questions in Chat are planned, not available today.

## Who this is not for, and when another tool fits

### This is not the right fit if

- Nothing carries over between shifts in your business.
- You need a scheduling tool to cover call-outs.
- You want a log that tracks equipment repairs and vendors.

### Another kind of tool may fit better

- Your scheduling app, for covering call-outs and shift swaps.
- A maintenance log or work order system, for equipment repairs.

## Questions

**Q:** What should a shift handover template include?

Open issues with owners, equipment problems and who was called, stock and deliveries, staffing changes and the one task the next lead should do first. Add the date, the handover time, the outgoing lead and the incoming lead's initials, so anyone can see that the handover happened.

**Q:** How long should a shift handover take?

Only as long as it takes to read the form and ask about anything unclear. If handovers drag, the form is probably collecting stories, so trim it back to facts, owners and the first task.

**Q:** Should a handover be written or spoken?

Both when shifts overlap: the written form keeps a record, and a short spoken handover lets the next lead ask questions. When leads never meet, the written form has to carry everything, so keep its fields fixed.

**Q:** How do I teach new leads to write a handover?

Show them a few good completed forms, then have them write one next to an experienced lead and compare. Elvina can turn your template and those samples into a lesson and a job aid that a manager approves before assignment.
