# An SOP Template for a Process That Lives in Your Head

An SOP template, or standard operating procedure template, is a fill-in format for one process: a header with its purpose, roles, inputs, outputs and exceptions, then a step table with who does each step and when to stop. It is for owners and managers whose key process still lives in their head and who want it written so others can learn it.

## An SOP template, in short

An SOP template is the fixed shape a standard operating procedure takes: a header for the purpose, the roles, what goes in, what comes out and which cases go to the owner, then numbered steps, each with a role, a record and a stop point. Owners and managers fill it out, often from a recorded walk-through. Elvina fills a sample SOP for the role you name with placeholders, then drafts a lesson, a job aid per role and a short quiz from the approved version, available now.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## When to use it

Write an SOP when a process repeats, passes through several people and costs money when done wrong. The signs are familiar: new hires ask the same question every week, shifts run the process differently, and you keep fixing the same mistake. Start with a single process rather than the whole manual. How to write an SOP:

- Pick one process with a clear start and finish, such as receiving a delivery.
- Record the most experienced person walking through it.
- Fill in the header: purpose, roles, inputs, outputs and exceptions.
- Write each step: a verb, the role, its record and a stop point.
- Test the draft on a newer employee, fix the gaps, then have the owner approve it.

## How to fill it out

Fill in the header first, then the step table in order. Keep the SOP at the level of the whole process; station detail goes in a work instruction. Write each step of the process into the blank template below, then compare your draft with the filled example. A fictional picture framing shop filled in the header and the first step of its artwork intake.

- Process and purpose: take in a customer's artwork, so every piece is recorded before work starts
- Roles: counter staff take the piece in, the framer confirms its condition, and Marisol, the owner, decides exceptions
- Inputs: the artwork, the customer's choice of mat and glass, and a blank order ticket
- Outputs: a ticket the customer has signed, filed with photos of the front and back
- Exceptions: valuable or fragile pieces, rush orders and requests to clean the art go to Marisol
- Version: 1, approved by Marisol, reviewed after any damage claim

SOP step table with one sample row

| Step | Who | Output or record | Stop and ask if |
|---|---|---|---|
| Photograph the front and back of the artwork and note any damage on the ticket | Counter staff | Two photos and a condition note on the ticket | The piece looks valuable or fragile, or the customer asks for it to be cleaned |

## How to read the result

A finished SOP passes a simple test: hand it to someone who has never run the process and watch them try. Each question they ask points to a missing step, a role nobody named or an exception with no owner. Guidance on SOPs from the U.S. Environmental Protection Agency sets the same bar: a person with limited experience should be able to follow the procedure without supervision. Read the parts of the SOP as the training they will become.

- Steps, sorted by role, become a job aid for each role
- The purpose, inputs and outputs become the lesson
- Stop points and exceptions become the quiz questions

## Where a person decides

Once the owner approves the SOP, it goes into Company Knowledge as the source. Creation Studio drafts a lesson, a job aid for each role and a short quiz from it, and the owner approves each draft before anyone is assigned on the Learning Platform. The owner also decides which exceptions come to them and who may change the process. If writing the first version is what stalls you, our team writes it with you on the platform today, and Elvina takes over each part as it is confirmed.

## Who this is not for, and when another tool fits

### This is not the right fit if

- You need step-by-step detail for one machine at one station.
- The process changes every week and nobody owns it.
- You want Elvina to decide who may change the process.

### Another kind of tool may fit better

- A work instruction, for exactly how one task is done at one station.
- A process mapping tool, when the process needs redesigning before anyone writes it down.

## Questions

**Q:** What is an SOP template?

A reusable format for writing one process the same way every time. Its header names the purpose, roles, inputs, outputs and exceptions, with the owner and version. Its step table gives each step a role, a record and a stop point, so the SOP is easy to check and use for training.

**Q:** How detailed should an SOP be?

Detailed enough that someone new can follow the process without supervision, and no more. Background belongs in the lesson. How to do one task at one station, such as setting a machine, belongs in a work instruction that the SOP step points to.

**Q:** Who should write an SOP?

The person who runs the process well writes or dictates the steps, and the owner approves the version. A recorded walk-through is a fine start. Then a newer employee tests the draft, because experts skip steps that feel obvious to them.
