# A Training Manual Template Built on the SOPs You Approved

A training manual template lists what one role must learn, section by section, with each section's goal, source SOP and version, owner, check of understanding and review date. It is for owners and managers who already have written SOPs and want new hires to learn them in a set order.

## A training manual template, in short

A training manual template is the learning order for one role: each section names a goal the person can show, the SOP and version it comes from, an owner, a check of understanding and a review date. Owners and managers who already have written SOPs fill it out, role by role. Elvina fills a sample section for one role, keeping what she cannot know as placeholders. From SOPs approved in Company Knowledge she drafts each section, a one-page job aid and a short quiz, available now.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## When to use it

Use it once a role has several written procedures and new hires still learn them by shadowing. The SOPs say how each process runs. The manual adds what they leave out: what this role learns first, which version is current and how you know the person understood. Write a manual for each role, not one for the whole company.

## How to fill it out

Fill in the header, then add a row for each section in the order a new hire should learn them. Write each goal as something the person can do, and name the SOP and version behind it. Pick a check you can watch or ask about, not a signature. Tie the review date to the SOP, so the manual changes when the procedure does. Use the blank template below and compare it with the filled example. A fictional dry cleaning chain with four stores and one cleaning plant filled in the header and the first section of its counter associate manual.

- Role: counter associate at all four stores
- Owner: Renata, the operations manager, who approves every version
- Version: 2, approved after the intake SOP changed
- Order: intake first, because every later step depends on a correct ticket

Training manual sections with one sample row

| Section | Goal | Source SOP and version | Owner | Check of understanding | Review date |
|---|---|---|---|---|---|
| Taking in a garment | Tag every garment and point out stains, missing buttons and damage to the customer before they leave | Garment intake SOP, version 3 | Renata, operations manager | Tag five real garments from the intake bin and explain each note to a lead playing the customer | When the intake SOP changes, and each January |

## How to read the result

Read the finished manual column by column. A section with no source SOP teaches a habit, not your standard. A section with no owner drifts out of date. A check that only asks for a signature says nothing about understanding. OSHA's resource on developing worker training sets a similar bar: material should be accurate, updated as needed and clear to the trainee, not only to experts. If new hires keep missing a section, fix the SOP or the lesson before you blame the person.

## Where a person decides

The manual owner decides which SOPs go in, in what order and when a new version replaces the old one. Elvina assembles the manual from SOPs approved in Company Knowledge, and each step below is available now. Nothing reaches a new hire until the owner approves it on the Learning Platform. If a section has no SOP yet, Elvina can draft one from a recorded interview with the person who knows the task, and that person checks the draft first.

- Draft: Creation Studio writes each section from its SOP and version for the owner to edit and approve
- Job aid: the steps of each section on one page, for use during the shift
- Check: a short quiz or scenario for each section, matching your check column

## Who this is not for, and when another tool fits

### This is not the right fit if

- You want one manual covering every role in the company.
- Nobody can say which version of each SOP is current.
- You need general skills courses rather than your own procedures.

### Another kind of tool may fit better

- Your HR or legal advisor, for documents that carry legal weight such as contracts and policies.
- A blank document, if one manager will fill this out once and nobody needs the training behind it.

## Questions

**Q:** What is a training manual?

The document a role learns from: its sections in learning order, each with a goal, a source procedure, an owner and a check of understanding. A useful one points to approved SOPs instead of copying them, so it stays current when a procedure changes.

**Q:** How do I create a training manual for employees?

Pick one role and list the tasks of its first weeks. Find or write the approved SOP for each task, and order the sections the way a new hire should learn them. Give each an owner, a check and a review date, then test the manual on your next hire.

**Q:** What is the difference between a training manual and an SOP?

An SOP describes one process for everyone who takes part in it. A training manual serves one role: it picks the SOPs that role needs, puts them in learning order and adds a goal and a check to each. The SOP stays the source.

**Q:** Should a staff training manual be printed or digital?

Either works if everyone can tell which version is current. Printed copies go out of date quietly, so date every printout. In Elvina, each section links back to its SOP and version in Company Knowledge.
