# Plan learner access from HR records

An HR roster with employee identifiers, role mapping and lifecycle rules; an HR system is connected with our team.

Updated October 27, 2026

## Learner access from HR records, in short

HR user provisioning plans who gets learning access from your HR records: each new hire is matched by job code to a learning group with a written reason, and departing employees lose access on the end date recorded in HR. HRIS analysts and HR managers who still create accounts by hand use it. The connection to your HR system is set up with our team, never assumed, and Elvina proposes each mapping for a person to confirm. SCIM user provisioning is available now on the Enterprise plan. Elvina never writes back to the HR system.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## Who this is for, and when

An HRIS analyst at a home services company onboards a dozen technicians a week and still creates learning accounts by hand. He wants new hires mapped to the right learning group from HR records, with a written reason for each mapping, and a plan for duplicate records, employee departures and failed syncs before anything runs.

## How it works in Elvina

A person maps each new hire from the HR roster to the right learning group and records the reason.

- In the Web workspace, open Integrations and confirm the HR connection our team set up with you.
- Map employee identifiers, job codes and lifecycle rules to learning groups.
- Elvina proposes a learning group assignment for each new hire with the reason it chose that group.
- Test duplicate records, employee departures and failed syncs in a staging run, then confirm with the Learning Platform administrator.

## A worked example

A fictional company, Blue Valley Home Services, has 320 employees across technician, dispatcher and office roles. The analyst maps five job codes to three learning groups and defines an offboarding rule that removes access on the end date recorded in HR.

- The proposal mapped every job code to a group with a one-line reason.
- Two duplicate records with different email formats were flagged for manual review.
- The offboarding rule was tested against three departures before the pilot moved forward.

## What to check before relying on it

Confirm the actual connector and permissions. Test duplicate records, employee departures and failed syncs; do not create accounts from this website.

- The connector is confirmed in writing for the pilot.
- Each mapping shows its reason.
- Duplicate detection was tested with real cases.
- Offboarding removes access on the recorded departure date.
- Failed syncs produce a report someone reads.

## Where a person stays in charge

No accounts are created from this website, and Elvina never writes back to your HR system. The connection to your HR system is set up with our team, not assumed. Elvina proposes mappings; a person confirms them. Confirm permissions, data fields and retention with your HR and security teams before a production sync.

## Who this is not for, and when another tool fits

### This is not the right fit if

- You want accounts created from this website.
- You expect Elvina to write changes back into your HR system.
- Most of your learners are contractors who never appear in HR records.

### Another kind of tool may fit better

- The onboarding module of your HR system, when learning access is a small part of a broader onboarding process.
- Your identity provider or IT team, for sign-in and account security policies.

## Questions

**Q:** Which HR systems are supported?

An HR system is connected with our team, and SCIM user provisioning is on the Enterprise plan. Do not assume a connector for your system exists until it is in writing.

**Q:** Is provisioning automatic once configured?

No. Elvina proposes each new hire's group assignment and a person confirms it before access changes; schedules and offboarding rules are agreed on and tested for each pilot.

**Q:** What about contractors who are not in HR?

Add them through a separate group or manual enrollment. HR-driven mapping covers only records the connector sees.
