# Keep reusable media understandable

A media inventory with ownership, rights and lesson references.

## Managing learning media, in short

Managing learning media means keeping every reusable image, clip and screenshot labeled with its owner, its rights and the lessons that use it, so nobody reuses a retired version. It suits content managers and trainers whose library has grown to hundreds of files that look almost alike. Before a shared asset changes, Elvina lists each lesson that would be affected. The library lives in the Web workspace, and uploads and lesson edits there are available now. Deleting a file and replacing it remain separate, confirmed steps.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## Who this is for, and when

A training content manager at a point-of-sale software company has six hundred media items, and two versions of the checkout screenshot look nearly identical. Designers keep reusing the old one. She needs owner, rights and caption data attached to each file and a way to see which lessons would change before a shared asset is replaced.

## How it works in Elvina

The team can distinguish a current product screenshot from an obsolete one before reuse.

- Open the media library in the Web workspace and review the inventory with owner, rights and lesson references.
- Mark obsolete versions and add captions and rights notes where they are missing.
- Elvina shows every lesson referencing an asset before you replace it.
- Replace or retire through the linked operations, then confirm with the lesson owners.

## A worked example

A fictional vendor, TapPoint POS, holds 640 items in its library. The content manager flags 38 obsolete screenshots, including an old checkout screen used in twelve lessons, and adds rights notes to every stock image purchased in the last year.

- Obsolete items are labeled so designers see the warning before reuse.
- The twelve lessons referencing the old checkout screenshot were listed and scheduled for replacement.
- Every stock image now shows its license scope and expiration.

## What to check before relying on it

Check affected lessons before replacing a shared asset. Rights and caption information belong with the file.

- Each asset shows an owner, rights note and caption.
- Obsolete assets carry a visible flag.
- Reference lists open the affected lessons.
- Replacing an asset shows the affected lessons first.
- Nothing is deleted from the library by this operation.

## Where a person stays in charge

Elvina does not capture new screenshots or judge whether an image is current; a person decides and marks it. Rights information is only as good as what you enter. Replacement and deletion are separate confirmed steps. Confirm storage limits and retention rules with your administrator before a large cleanup.

## Who this is not for, and when another tool fits

### This is not the right fit if

- You need a company-wide asset system for marketing and sales files.
- Nobody owns the decision about which screenshot is current.
- You want old files cleaned out automatically.

### Another kind of tool may fit better

- A digital asset management system, when marketing, sales and training share one library.
- A shared drive with a naming rule, for a small library one person maintains.

## Questions

**Q:** Are captions required?

Not required, but strongly recommended for accessibility and for reviewers who need to know what an image shows.

**Q:** What happens when I replace a shared asset?

Elvina lists every lesson that uses it. Each lesson owner is told, and the change goes through review.

**Q:** Is there a storage limit?

Limits depend on your plan and workspace. Ask your administrator before uploading large video files.
