# Prepare a logo for reusable training

An approved vector or high-resolution logo and usage rights.

Updated October 27, 2026

## Uploading a logo for training, in short

Uploading a logo records one approved company mark, ideally a vector file, as a brand asset with light and dark background versions, usage rights and a clear-space rule. Marketing coordinators and training leads use it so editors stop pasting a blurry copy from the website into decks. Elvina derives the background variants and notes when a file is lower quality than the vector. Your logo, colors and fonts through the Brand Kit are available now. The full brand guide and color tokens are separate steps.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## Who this is for, and when

A marketing coordinator at a solar installation company has been asked to make every training lesson carry the company mark. She has a vector file from the agency and a PNG someone screenshotted from the website. She needs the right file recorded once, with variants for light and dark slides, so the training team stops pasting a blurry copy into decks.

## How it works in Elvina

A brand asset is recorded with variants for light and dark backgrounds.

- The coordinator uploads the agency vector file to Company Knowledge with the usage rights and the clear-space rule from the brand guide.
- Elvina records the logo as a brand asset, derives light-background and dark-background variants, and flags that the screenshot PNG is lower quality than the vector.
- She reviews both variants on a sample slide, checks proportions and transparency, and sets a minimum display size.
- She marks the asset as approved so it appears in the brand picker in Creation Studio.

## A worked example

A fictional installer, Sunward Energy, has a brand guide from its agency that specifies a clear space equal to the height of the mark's letter S. The vector file is Sunward-Primary.svg. The training team has been using a 240-pixel PNG copied from the website footer.

- The brand picker now offers the vector mark with a light and a dark variant, each with a transparent background.
- The 240-pixel PNG was archived with a note pointing editors to the vector.
- Three decks that used the PNG were queued for logo replacement in a separate step.

## What to check before relying on it

Inspect transparency, proportions and safe space. A logo file alone does not establish the complete brand rules.

- The stored file is the vector or highest-resolution version available, not a screenshot.
- Transparent areas are truly transparent when placed on both light and dark slides.
- Proportions match the brand guide, and the clear-space rule is recorded with the asset.
- Usage rights and the approving person are noted in Company Knowledge.

## Where a person stays in charge

Uploading a logo records one asset; it does not import the full brand guide, define color tokens or fix decks that already use the wrong file. Elvina derives background variants mechanically and cannot judge whether a co-branded or partner mark is yours to use. The brand owner approves the asset before editors can pick it.

## Who this is not for, and when another tool fits

### This is not the right fit if

- You only have a screenshot of the logo and no source file.
- The mark belongs to a partner and you have no right to use it.
- You need the whole brand guide set up, not just the mark.

### Another kind of tool may fit better

- Your design agency, for the vector file and the official variants.
- A brand guidelines document, to set colors, type and clear space in full.

## Questions

**Q:** Do I need a vector file?

It is strongly preferred. A high-resolution PNG works for most slides but looks soft when scaled up or exported for video.

**Q:** What about a monochrome or reversed version?

Upload each official variant you have. Elvina derives light and dark background versions, but an official monochrome mark is added as its own asset.

**Q:** Where do editors find the approved logo?

After the brand owner approves it, the logo appears in the brand picker in Creation Studio with its light and dark versions. Older copies can be archived with a note that points editors to the approved file.
