# I build your volunteer training program, one role at a time

ELVINA · NONPROFITS

When the coordinator who trained every volunteer leaves, the program often goes with them. I interview your coordinator, write each volunteer role down and turn it into a role card, a short lesson and practice with the situations volunteers encounter. A staff lead works the first shift with every new volunteer and decides who serves on their own.

## What working with me takes

### You send

Your volunteer handbook or role notes, or a short interview with your coordinator.

### You get

A role card, a short lesson and practice scenarios for that role, approved by your program lead.

### Your time

We agree up front how much of your time the interview and approvals take, and what else you and your managers do.

### Who helps

I prepare the materials. My team sets me up, supports your account and runs your demo. A person confirms every meeting and every payment.

Example · volunteer role card, pantry

### Distribution shift: the welcome table

## Volunteers, and the staff who bring them in

Your volunteer coordinator and I list the roles first. I begin with the one you fill before your next drive or event.

### Volunteer coordinator

Recruiting, sign-ups and the welcome, written down so the next coordinator doesn't start from scratch.

### Event day volunteer

Check-in, directions, the welcome table and whom to call when something goes wrong.

### Warehouse or pantry volunteer

Sorting, packing and distribution steps from your pantry rules.

### Tutor or mentor

Your program's session routine, its boundaries and the moment a staff member steps in.

### Front desk and phone volunteer

Greeting visitors, approved information about your programs and referrals to the right contact.

### Program assistant

Your daily program routine, sign-in sheets and the hand-off to a case manager.

## Your volunteer training program, from the role card to the first shift

### One role first

The volunteer role you fill most, and the drive, season or event it is for.

### What your coordinator knows

Your handbook, role notes and referral contacts, or an interview with the coordinator who has trained everyone so far.

### A role card and a lesson

One page with the role, its limits and key contacts, plus a short plain-language lesson. A program lead approves them.

### Practice with real situations

Short scenarios from made-up cases: a question a volunteer cannot answer, a person who needs a referral, a safety concern.

### Ready at sign-up

Each new volunteer gets the card and the lesson when they sign up, with a reminder before their first shift (planned, not available today).

### The first shift

A staff lead works the first shift alongside each new volunteer and decides who serves on their own.

## A holiday food drive with eighty new volunteers

You said: "Our coordinator left in October, and the holiday drive needs eighty volunteers who know what to do." I start with the warehouse role. Example · food bank, 1 warehouse, 3 pantries

- Oct 20 Your program manager talks me through the warehouse shift
- Oct 22 Role cards for sorting and distribution, and a short lesson, drafted
- Oct 23 Your program manager adds the referral contacts and approves
- Nov 1 Shared with 80 volunteers with their sign-up confirmation
- Nov 15 A reminder the day before each first shift (planned, not available today)
- Nov 16 First shifts: your staff lead decides who works a station alone

## In the languages of the neighborhood you serve

Many volunteers come from the neighborhood your program serves. I prepare the role card in the languages they read, and a fluent reviewer on your side checks each translation before it goes out.

- English
- Spanish
- Both

## What stays with you

- Client records, donor details and safeguarding reports never go into a lesson
- Mandated reporter, food handler and other required training stays with its own programs
- Eligibility, clinical and emergency decisions stay with your staff
- Who volunteers, and in which role, is your decision
