# A Skills Matrix You Keep Current From Training Results

Skills matrix software, also called training matrix software, shows which employee can do which task and at what level, and it is only as reliable as the evidence behind each mark. This page is for production and operations managers who keep a matrix.

## What skills matrix software shows

Skills matrix software records which person can do which task and how well, and every mark is only as good as the evidence behind it. Production and operations managers who keep such a grid for their teams are the readers here. Elvina leaves the grid to your matrix tool and supplies the evidence instead: lessons and quizzes for each task, with completions per person available now. Quiz answers and scores are not stored.

Elvina does not keep the matrix itself: she builds the training and quizzes behind its marks, and a person updates it.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## What to look for

A matrix is a grid of people against tasks. Drawing the grid is easy. Keeping each mark true after people move and procedures change is the hard part, so look at what stands behind the marks.

- Rows that name tasks someone can watch, not broad skills like teamwork.
- Levels in plain words, such as learning, can do with help, can do alone and can teach.
- The evidence and date behind each mark: training finished, quiz passed, work observed.
- A named owner who updates the matrix, and a clear trigger for doing it.
- A link from each empty cell to the training that would fill it.
- A view by shift, so you see a coverage gap before it stops a line.

Four levels and the evidence behind each.

| Level | What it means | Evidence before the mark changes |
|---|---|---|
| Learning | Assigned the training for this task and working through it | Lessons assigned and started. |
| Can do with help | Does the task with a senior person beside them | Quiz passed and one supervised run. |
| Can do alone | Does the task to standard without help | A full run watched by a senior person. |
| Can teach | Shows someone else the task and checks their work | Has coached a learner through a watched run. |

## Where most tools stop

Skills matrix tools and spreadsheets are good at the grid. They color cells, flag gaps and expiration dates, and help plan who covers which shift. Before buying, ask whether the tool creates the training for an empty cell or only shows that the cell is empty. Then ask who updates a mark after a procedure changes, and from what evidence. A green cell can describe a person who learned an older version of the task.

## How Elvina approaches it

Elvina's part is the training behind the rows. She builds it and shows who has completed it, so whoever updates the matrix has evidence to work from. From setup sheets, SOPs and recorded walk-throughs in Company Knowledge, she drafts lessons, job aids and quizzes for each task in Creation Studio. A person approves them and assigns each lesson on the Learning Platform to the people whose cells are empty or out of date. Managers see completions per person in the Web workspace; detailed quiz answers and scores are not stored, so a senior person watches the task before any mark changes. Today that work runs through our team on the platform, with Elvina taking over each piece once it is confirmed.

- Lessons, job aids and quizzes for each task, with progress for every person (available now).
- A first-week readiness check for new hires (available now).
- Reports delivered to each manager on a fixed schedule (planned, not available today).

## When another tool fits better

Dedicated skills matrix or workforce software is the right call when you need the matrix itself, with shift planning, certificate expiration alerts and audit views. Keep Elvina for the training behind it. When the matrix is part of an annual performance review, a performance management system fits better. Elvina does not certify anyone and does not rate performance. She fits when the gap is training people for the empty cells and showing who has completed that training.

## A worked example

A fictional cabinet shop runs two shifts across a CNC router, an edge bander and an assembly line. The production manager keeps the skills matrix in a spreadsheet. Only one person on the second shift is marked as able to set up the edge bander, and he moves to days next month.

- That operator records a setup walk-through at the edge bander, and the production manager adds the setup sheet to Company Knowledge.
- Elvina drafts three lessons, a setup job aid and a quiz, and the production manager approves them.
- The lessons go to the two second-shift operators marked as learning on that machine.
- After each operator passes the quiz, the senior operator watches a full setup, and only then does the production manager change the cell to can do alone.

## Who Elvina is not for, and when another tool fits

### Elvina is not the right choice if

- You need the matrix itself, with shift planning and certificate alerts.
- The matrix is part of annual performance ratings.
- You want software to certify people.

### Another kind of tool may fit better

- Dedicated skills matrix or workforce software, for the matrix and audit views.
- A performance management system, when ratings drive reviews.

## Questions

**Q:** What is skills matrix software?

It is software that maps employees against the tasks of their roles and shows each person's level, so a manager can see gaps and plan coverage. The grid is only as reliable as the training and checks behind each mark.

**Q:** Does Elvina update my skills matrix automatically?

No. Elvina shows which lessons and quizzes each person completed; detailed quiz answers and scores are not stored. A person who has watched the work decides whether a mark changes, then updates the matrix in your spreadsheet or matrix tool.

**Q:** Can a skills matrix be a spreadsheet?

Yes, a spreadsheet works for a small team. What matters more is that rows are real tasks, levels use plain words and every mark carries a date and a reason someone can check.

**Q:** Who should update a skills matrix?

The person closest to the work, usually a shift lead or senior operator who watched the task, with one manager owning the whole grid. Training completions show who is ready to be watched, and the watched run decides the mark.
