# Release the right version to a known group

An approved course, group roster, timing and support owner.

Updated October 27, 2026

## Launching learning for a group, in short

Launching learning for a group means releasing one approved course revision to one defined set of people at a set time, and to nobody else. It suits directors of multi-site businesses where only some locations should see a new course yet. Elvina drafts a launch plan that pairs the revision with the group, lists a test with one learner account before release and names the support owner; groups and assigning by location and role are available now, and reminders are planned, not available today. A person authorizes the assignment, and no message goes out without that approval.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## What you bring and what Elvina returns

| You bring | Elvina returns, for your approval | Status |
|---|---|---|
| The three stores that should get the new course first | A group for those stores and a launch plan with a one-account access test | available now |
| The revision to release and the day it goes live | That revision assigned to the group after a person authorizes it, and nobody else | available now |
| The deadline for finishing and the support owner’s name | Who in the group has finished, plus a deadline note naming the access helper for your manager to send | available now |

## Who this is for, and when

A fixed-operations director at an auto dealership group is releasing a revised service-writer course to the three stores that adopted a new appointment system. The other five stores must not see it yet. She needs the right revision paired with the right cohort, a way to prove a learner can open it before 40 people are told to, and a named person to call when they cannot.

## How it works in Elvina

A launch plan pairs the current lesson with the correct location cohort and a pre-release access check.

- She selects the approved course revision and the location group on the Learning Platform, and sets the release timing and support owner.
- Elvina drafts a launch plan that pairs the revision with the roster, lists the pre-release access test, and shows who will be notified.
- A test learner account from one of the three stores opens the course and completes the first lesson.
- After the test passes, she authorizes the assignment and the notification as two separate actions.

## A worked example

A fictional group, Crestview Automotive, has eight dealerships. 'Service Write-Up With the New Scheduler', revision 2, applies only to the three stores that switched systems in August. The cohort group holds 41 service writers and advisors; the support owner is the group's training coordinator.

- A launch plan showing revision 2 paired with the 'Scheduler Stores' group, a release date, and the coordinator's name as support contact.
- A test account at the Elm Street store opened the course and recorded a lesson completion before anyone else was assigned.
- Assignment to 41 people and the notification were approved one after the other, with the five other stores untouched.

## What to check before relying on it

Test a learner account before wider release. Assignment and notification are separate actions requiring authorization.

- The assigned revision is the approved one, shown by number in the launch plan.
- The roster contains only the intended stores, verified before assignment.
- A real learner account completed the access test before the group release.
- Assignment and notification were authorized as separate steps.

## Where a person stays in charge

Elvina prepares the plan and performs the assignment only after a person authorizes it; it does not decide who belongs in the cohort or send notifications on its own. Group membership comes from the dealership's roster. An external channel for the notification, such as Slack or Teams, is planned, not available today, not assumed.

## Who this is not for, and when another tool fits

### This is not the right fit if

- Everyone in the company should get the course at once with no testing.
- You need Elvina to decide who belongs in the group.
- The launch depends on a text message channel that has not been set up.

### Another kind of tool may fit better

- A course library, when the topics are general skills rather than your own procedures.
- An instructional designer, for a large program with branching scenarios or live workshops.

## Questions

**Q:** What if the wrong store ends up in the group?

The roster preview shows every member before release. Fix the group first; if the launch already went out, revoke access for those people and record why.

**Q:** Can we stagger the launch across the three stores?

Yes. Create a group per store or set separate release dates. Each launch keeps its own access test.

**Q:** What should the access test prove before a group launch?

That a real learner account in the target group can open the course and record a completion on the device people will use. One passing test account at one location catches most group and permission mistakes before forty people are told to start.
