# Group learners for a reason

Audience attributes, authorized roster and assignment policy.

Updated October 27, 2026

## Organizing learning groups, in short

Learning groups are sets of people defined by a real attribute, such as location, department or role, so each course goes to the staff who need it and nobody else. They suit HR generalists and operations managers in multi-site businesses where people receive the wrong training or sit in overlapping lists. Elvina proposes a group structure from the roster you supply and shows where memberships overlap; groups, separate tracks for staff, partners and customers, and assigning by role and location are available now. A named person approves membership changes.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## What you bring and what Elvina returns

| You bring | Elvina returns, for your approval | Status |
|---|---|---|
| A staff roster listing store, department and role, pasted as text | A proposed group structure by store and department, with overlaps shown for decision | available now |
| The course only deli staff should take | Slicer safety assigned to the deli group alone, after a named person approves | available now |
| The store groups whose progress the manager wants to see | Completions and certification dates laid out by store group | available now |

## Who this is for, and when

An HR generalist at a regional grocery chain with 26 stores keeps getting the same complaint: bakery staff receive deli training, and the produce lead at one store is in three overlapping groups. She wants groups that exist for a reason (location and role) so a course goes to the people who need it, without a learner appearing four times or a roster exposing personal details it should not.

## How it works in Elvina

Location and role groups help target the relevant training without duplicating learners unnecessarily.

- She defines the attributes that matter (store, department, role) and the authorized roster they come from.
- Elvina proposes a group structure on the Learning Platform, showing where a learner would belong and where memberships would overlap.
- She reviews the overlaps and decides which are intentional, such as a produce lead who also opens the store.
- The assignment policy is recorded: which group receives which course, and who approves membership changes.

## A worked example

A fictional chain, Hartwell Market, employs 1,900 people across 26 stores. The roster from the HR system lists store, department and job title. The generalist wants store groups for opening procedures and department groups for equipment training, with store managers approving changes.

- Twenty-six store groups and seven department groups, with each learner in exactly one store group and one department group.
- A list of 41 people with a second department membership, each confirmed or removed by the store manager.
- An assignment map: opening procedures to store groups, slicer safety to deli groups only.

## What to check before relying on it

Review membership changes and departing employees. Group membership should not reveal personal data outside the permitted scope.

- Every group has a stated purpose and a named approver.
- No learner appears in a group without a roster attribute that justifies it.
- Group views show only the attributes needed for assignment, not full personnel records.
- Departing employees are removed on a defined schedule and the removal is logged.

## Where a person stays in charge

Elvina proposes groups from the roster you supply; it does not pull from your HR system unless our team has connected it. Membership changes are approved by the person you name, and Elvina does not reveal pay, address or other personal data in group views. Overlaps are decisions, not errors, and a person makes them.

## Who this is not for, and when another tool fits

### This is not the right fit if

- You expect the roster to come straight from your HR system before it is connected.
- You want group views that show pay, addresses or other personnel records.
- Your business has one small team that takes every course together.

### Another kind of tool may fit better

- A course library, when the topics are general skills rather than your own procedures.
- An instructional designer, for a large program with branching scenarios or live workshops.

## Questions

**Q:** What happens when someone transfers between stores?

The roster update moves them to the new store group. Their completed training stays on their record; open assignments are reviewed by the new store manager.

**Q:** Can a group be temporary, such as a holiday hiring wave?

Yes. Give it an end date and a purpose. When it expires, members keep their history and lose only that membership.

**Q:** Should a person ever be in more than one group?

Yes, when there is a reason, such as a store group for opening procedures and a department group for equipment training. Overlaps are decisions a person makes and records, not mistakes to remove automatically.
