# SOP Software: From an Approved Procedure to a Trained Team

SOP software is where a company writes its standard operating procedures, keeps the approved version and gets each change to staff. This guide is for owners and managers whose processes sit in old folders or in one expert's head.

## What SOP software is

SOP software is the tool a company uses to write its standard operating procedures, keep the approved version and push every change to the people affected. Owners and managers whose processes live in old folders or in one expert's memory are the readers here. Elvina works as the training layer on top: each approved SOP keeps a named owner, and a lesson, a job aid and a quiz drafted from it, approved by a person, are available now.

The kinds of tools differ on who writes, who owns the current version and how you know people understood it.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## What to look for

Almost any tool can store a file. The gaps show up later, when a step changes or a new hire starts on a busy day. Ask four questions of each kind of tool.

- Who writes: an owner typing from memory, an expert talking through the job, or a tool drafting from what you already have.
- Where the approved version lives: one place with a named owner and a review date, or copies in several folders.
- How a change reaches people: a new file nobody opens, a note to read it again, or updated training that a person checks first.
- Proof that people understood: a short check on the steps that matter, and a record of who finished which version.

## Where most tools stop

Five kinds of tools cover most of the market, and each one stops at a different point. The table compares kinds, not products, as checked on October 2, 2026, so confirm each cell with the vendor you are weighing. The U.S. Environmental Protection Agency's guide to writing SOPs says a changed procedure should be updated and approved again, with old versions archived so nobody keeps using them.

Five kinds of SOP software, checked October 2, 2026.

| Kind | Who writes | Approved version and owner | How a change reaches people | Check and record |
|---|---|---|---|---|
| Shared folder | Whoever has time, often from memory | Often several copies, and the owner is whoever saved last | A message asking people to read the file again. | None, unless a manager asks. |
| Wiki or knowledge base | Your team, page by page | One page, with edit history in most tools | The page changes, and some tools alert followers. | Read receipts in some tools, rarely a quiz. |
| Process editor for SOPs | Your team, from templates, sometimes with AI help | Versions, owners and review dates | Sent to each role to sign off. | Sign-off, and quizzes in some tools. |
| LMS | Your team writes a course apart from the SOP | The SOP lives elsewhere, and the course is a copy | Someone rebuilds the course by hand. | Quizzes and completion records. |
| AI employee (Elvina) | Drafts from your files, recordings or an expert's interview, and a person approves (available now) | Company Knowledge keeps the approved version and its owner (available now) | New lessons drafted from the new version for a person to check. | Quizzes, assignment and progress on the Learning Platform (available now). |

## How Elvina approaches it

Elvina is not a document control system, and she does not replace one. Her main job comes after a procedure is approved: she prepares the training, and your managers share it and review completion on the platform. Each SOP goes into Company Knowledge with a named owner. In Creation Studio, each approved SOP becomes a lesson, a job aid and a quiz, and nothing reaches staff until a person approves it. Our team runs these steps with you today, and Elvina takes over each one as it is confirmed.

- Approved SOP versions, each with a named owner, in Company Knowledge (available now).
- A draft procedure from an expert's recorded interview, sent back to that expert to check (available now).
- A lesson, a one-screen job aid and a quiz for each SOP, assigned by role on the Learning Platform (available now).
- Answers to staff questions in Chat, drawn only from approved SOPs (planned, not available today).

## When another tool fits better

If an auditor expects formal document control, with controlled copies and signed approvals, keep a system built for that and use Elvina as the training layer on top. A shared folder is enough for a few people and a handful of steps that rarely change. A wiki suits things people look up, such as supplier phone numbers. A process editor fits an owner who wants to write every SOP and have staff sign off. Elvina fits when the SOPs exist, or live in one expert's head, and nobody has time to turn them into training. She does not judge whether a procedure is legal or meets a regulator's rules.

## A worked example

A fictional kitchen exhaust cleaning company sends four crews into restaurants after closing. Its SOPs sit in a shared folder in several versions, and the clearest account of the job lives with one crew lead.

- The owner moves the two current SOPs into Company Knowledge and names the operations manager as owner of each.
- The crew lead records how he covers a customer's kitchen before cleaning, and Elvina drafts those steps for him to correct.
- After his edits the manager approves it, and Creation Studio turns the three SOPs into lessons, a job aid for the truck and a quiz.
- New crew members get the lessons by crew on the Learning Platform, and the manager sees who finished each quiz.
- When the photo report for customers changes, the manager updates that SOP and approves the new lesson before crews are reassigned.

## Who Elvina is not for, and when another tool fits

### Elvina is not the right choice if

- An auditor expects formal document control with controlled copies.
- You want to write every SOP yourself and only need staff to sign off.
- You need an AI to judge whether a procedure meets a regulator's rules.

### Another kind of tool may fit better

- A document control system, with Elvina as the training layer on top.
- A wiki or a shared folder, for a few steps that rarely change.

## Questions

**Q:** What is SOP software?

SOP software is a tool for writing standard operating procedures, keeping one approved version with an owner and getting changes to staff. It ranges from shared folders and wikis to process editors, LMSs and AI employees. Compare them on who writes, where the current version lives and how you know people understood it.

**Q:** Can Elvina write our SOPs for us?

Elvina drafts your SOPs, and people decide. She drafts a procedure from your files, recordings or an expert's recorded interview, all available now. That expert corrects it, and an owner approves it. She does not invent a standard you do not have, and she does not judge whether a procedure is legal.

**Q:** Do we still need a document control system?

If an auditor or regulator expects controlled documents, yes. Keep that system as the record of the SOP itself. Elvina works next to it, turning the approved versions in Company Knowledge into lessons, job aids and quizzes that staff are assigned.

**Q:** What happens to training when an SOP changes?

You add the new version, and Elvina drafts new lessons, job aids and quiz questions from it. A person checks and approves each change before staff are reassigned, so a half-done draft never reaches the floor. Drafting, approval and assignment are available now.
