# Training Tracking Software for Readiness, Not Just Completions

Training tracking software records who was assigned what, who finished and how they scored, and the useful kind adds who checked the work. It serves owners and managers who keep an employee training tracker in a spreadsheet today and need to know who is ready, not only who clicked through.

## What training tracking software records

Training tracking software keeps the record of who was assigned what, who finished and what they scored, and the more useful kind also shows who checked the work. It is for owners and managers who track training in a spreadsheet today. Elvina keeps the training and its record together: completions and certification dates per person and a first-week readiness check are available now, while reminders are planned, not available today, and quiz scores are not stored. Spotting source changes on her own is planned, not available today.

A good one also shows which version of a procedure each person learned.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## What to look for

A training record should answer the question a manager actually has: can this person do the task the way it is done now? Check whether each tool can show these.

- Assignments by role, group and location, with due dates.
- Completions and quiz scores for each person and each lesson.
- The version of the procedure each person learned, and who still needs the update.
- A separate place for a check by someone who watched the work.
- Views limited to each manager's own people.
- Records that stay readable when someone moves to another role or location.

## Where most tools stop

Spreadsheets work until people change roles, procedures change versions and nobody updates the sheet. LMS reports count enrollments, completions and time spent. HR systems store certificates and expiration dates. None of these, on its own, tells you whether the person on tonight's schedule can do the task the current way. A completion date says someone reached the last screen. It does not say they understood the lesson, or that the lesson still matches the procedure. OPM's training evaluation guide describes a different check: an expert, peer or supervisor observes the person on the job and records, typically with a checklist, whether the skills are performed completely and correctly.

What each training record tells you.

| Record | It shows | It does not show |
|---|---|---|
| Assignment | Who should learn what, by when | Whether they started. |
| Completion | Who reached the end | Whether they understood it. |
| Quiz score | What they knew that day | Whether they can do the task. |
| Observed check | A manager saw it done right | Whether they learned a later change. |
| Certificate | A course passed by a date | Whether your own steps were taught. |

## How Elvina approaches it

Elvina keeps the training and its record in one place. Each lesson is built in Creation Studio from a source in Company Knowledge, so you know which version of the procedure it teaches. When a procedure changes, today you let our team know and we start the redraft. Elvina drafts the revised lesson in Creation Studio, a person approves it, and it is reassigned to everyone who took the old one. Spotting source changes on her own is planned, not available today. Managers see progress for their own groups in the Web workspace. Our team sets this up with you for now, and Elvina takes on each part as pilots confirm it.

- Completions and certification dates for every person, group and lesson on the Learning Platform (available now); detailed quiz answers and scores are not stored.
- A first-week readiness check in which a manager confirms the work (available now).
- Progress digests for managers and reminders for staff with unfinished lessons (planned, not available today).
- Weekly or monthly reports sent to managers on a schedule (planned, not available today).

## When another tool fits better

Licenses, certificates and their expiration dates for regulated roles belong in an HR or compliance system built for that; Elvina does not certify anyone. When an outside instructor runs the training and you only need to log attendance, a simple tracker will do. Elvina fits when you also have to create the training, keep it current with your procedures and see who completed it.

## A worked example

A fictional vending company runs thirty routes, and each driver works alone all day. The operations manager tracks training in a spreadsheet that is months out of date, and nobody can say who knows the new card reader procedure.

- The operations manager adds the restocking, cash handling and card reader procedures to Company Knowledge.
- Elvina drafts a lesson and a short quiz for each procedure, and the operations manager approves them.
- The operations manager assigns the lessons to the driver group on the Learning Platform, and completions appear by route.
- When the card reader procedure moves to version three, the operations manager flags it to our team; the lesson is redrafted, approved and reassigned. The new completions show who has learned it.
- On ride-alongs, the route supervisor watches one machine service and records the result on a readiness scorecard.

## Who Elvina is not for, and when another tool fits

### Elvina is not the right choice if

- You track licenses and certificate expiration dates for regulated roles.
- An outside instructor runs the training and you only log attendance.
- You want software to certify people.

### Another kind of tool may fit better

- An HR or compliance system, for licenses and certificates.
- A simple tracker, for attendance at outside courses.

## Questions

**Q:** What is training tracking software?

Training tracking software records which training each employee was given, what they completed and how they scored. Better tools also tie each record to the procedure version taught and leave room for a manager's observed check, so the record means something on the floor.

**Q:** Is a spreadsheet enough to track employee training?

For a few people in one role, often yes. It breaks when roles, locations and procedure versions multiply, because someone has to update every cell by hand. If your sheet is already out of date, the gap is upkeep, and a system that records progress as people learn closes it.

**Q:** Can Elvina send managers a weekly training report?

Scheduled reports to managers are planned, not available today, and so are progress digests. Today each manager opens progress for their own group in the Web workspace whenever it is needed.

**Q:** Does a completed course mean the person can do the job?

No. Completion means the person reached the end, and a quiz shows what they understood. Only someone who watches the task done on a real shift can say the person is ready, so keep that check as its own record.
