# Prepare each role for opening

Opening day is fixed, the roster is not, and nobody can say who is ready.

## What is new location opening training with Elvina?

New location opening training with Elvina prepares a mixed roster of new hires and transfers for a fixed opening day, role by role. Directors of operations and opening general managers use it. Each role gets a core lesson, a local appendix for the site and an observer checklist for critical tasks. Assigning lessons by role and location is available now, and observers log each critical task per person. Reports to managers on a schedule are planned, not available today. The opening decision stays with the managers.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## Who this is for, and when

A director of operations at a car wash chain is opening site fourteen in seven weeks. The roster is half new hires, half transfers, and every role has critical tasks that must be observed before opening. Course completion has been mistaken for readiness before. He wants a role-by-role plan with a core lesson, a local appendix, and a readiness check naming who is unverified.

## How it works in Elvina

A role-by-role plan combines a core lesson, local appendix and readiness check before the first shift.

- The operations director adds the core role procedures, the site fourteen local appendix, and the observation requirements list to Company Knowledge.
- Creation Studio produces a lesson per role from the core procedures, attaches the local appendix, and drafts a readiness checklist for observers.
- The opening general manager reviews each role plan, adds two site-specific hazards, and approves.
- The operations director assigns lessons to the opening roster by role on the Learning Platform, and observers record each observed task in their notes on the readiness checklist.
- Staff open the local appendix in the Web workspace during pre-opening days, and the readiness report shows who remains unverified.

## A worked example

Consider a fictional chain, SunPeak Car Wash, staffing site fourteen with 22 people across attendant, tunnel operator, and shift lead roles. Sources are three core role procedures, the Site 14 Local Appendix, and the Opening Observation Requirements. The plan combines a core lesson, the appendix, and observed tasks per role.

- Three role plans were approved, each with a core lesson and a local appendix specific to site fourteen.
- The readiness report listed four people with unobserved critical tasks two days out, and the general manager scheduled them.
- Two site hazards added by the general manager were also fed back into the core procedures.
- The same plan fits a salon or spa opening, for example with front desk coordinators and nail technicians as the roles and each station setup check observed by the location manager.

## What to check before relying on it

Track missing people and unverified tasks explicitly. Course completion alone must not authorize opening a location.

- Every roster member has a role assignment, a completed core lesson, and an observation record for each critical task.
- The readiness report distinguishes completed lessons from verified tasks.
- Missing people and unverified tasks are listed by name, not summarized as a percentage.

## Where a person stays in charge

Elvina builds the role plans and tracks completion and observations; it does not authorize a location to open. The general manager and operations director decide that from the readiness report and their own inspection. A person records each observed task. Local regulatory sign-offs sit outside this workflow.

## Who does what in new location opening training

| Role on your team | What the person keeps | What Elvina drafts | Status |
|---|---|---|---|
| [HR generalist](/elvina/hr-recruiter) | Decides who is hired, when a new person starts and when they work alone | A plan for the first few days in each role and a readiness check for new hires | available now |
| [Trainer](/elvina/coach) | Coaches on the floor and judges whether the work is done right | Job aids and short quizzes for the task; the workspace shows who has completed them | available now |
| [Line manager](/elvina/coach) | Approves what reaches the team and follows up with anyone who falls behind | A progress digest by person and role | planned, not available today |
| [Instructional designer](/elvina/learning-team) | Sets the learning goal and checks the method and the wording | Draft lessons, courses and quizzes from your own documents | available now |

Nothing Elvina drafts reaches your team until a person on your side approves it.

## What Elvina does not do, and when another tool fits

### Elvina does not

- Authorize a location to open; your general manager and operations director decide.
- Treat a finished course as proof that someone is ready.
- Observe critical tasks; a person on site records each observation.
- Handle local regulatory sign-offs or inspections for the site.

### Another tool fits better when

- The procedure itself is still being decided: settle it first, then train on the approved version.
- You need payroll, scheduling or an HR system of record: keep the one you have.
- A quick poll after a meeting is all you need: a survey form is enough.

## Questions

**Q:** Can transfers skip the core lesson?

The operations director can assign transfers only the local appendix and the readiness check. Observations still apply to everyone.

**Q:** Can the same plan be reused for site fifteen?

The core lessons carry over. The local appendix and roster are new, and that site's general manager reviews them.

**Q:** What if someone joins the roster late?

Add the person to the opening roster and assign the lesson for their role along with the local appendix. Their critical tasks show as unverified in the readiness report until someone observes them, so the gap stays visible to the general manager.

**Q:** Can site-specific hazards be added to the plan?

Yes. The opening general manager adds them during review, and they appear in that site's local appendix. If a hazard applies to every site, the owner of the core procedures can add it there so later openings include it too.
