# Turn an SOP into role-specific training.

SOP training by role means each person learns only the steps of a procedure that their job uses, with practice and a check for that role. Elvina turns an approved SOP into role-specific lessons in Creation Studio, and a reviewer approves each lesson before it is assigned on the Learning Platform.

## What is SOP training by role with Elvina?

SOP training by role with Elvina splits one approved procedure into the parts each job actually performs, with practice and a check for that job. Operations managers and trainers use it when several roles share a single SOP. Elvina drafts the role lessons in Creation Studio; a reviewer sees the lesson, source version and target group together, and changing the group voids that approval. Answers to employees in chat about their part of the SOP are planned, not available today.

## What happens on the free demo

- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

## Where does role-based training start?

Pick the role and the work it must perform. The source owner confirms the applicable SOP. An author prepares the lesson and practice; the manager agrees on the readiness checkpoint.

## What exactly does a reviewer approve?

The reviewer sees the lesson, source version, and intended group together. Changing the content or the group invalidates that approval. A chat request cannot silently widen the permitted audience.

## What happens when an SOP changes?

The value continues after the first course: when a standard changes, the affected explanation should change with it. Try source v2 in the simulation; the introduction stays in place and the revision waits for review. Spotting source changes on its own is planned, not available today; a person brings each new version in. OSHA's recommended practices for safety and health programs call for added training when changes in equipment, processes or work organization could increase hazards, and whenever a worker is assigned a new task.

## Report partial work as partial.

In the sample, three of four deliveries succeed. Retry queues only the failed item, once. Delivery status never becomes course completion or job readiness; those require their own observations.

## Who does what in SOP training by role

| Role on your team | What the person keeps | What Elvina drafts | Status |
|---|---|---|---|
| [HR generalist](/elvina/hr-recruiter) | Decides who is hired, when a new person starts and when they work alone | A plan for the first few days in each role and a readiness check for new hires | available now |
| [Trainer](/elvina/coach) | Coaches on the floor and judges whether the work is done right | Job aids and short quizzes for the task; the workspace shows who has completed them | available now |
| [Line manager](/elvina/coach) | Approves what reaches the team and follows up with anyone who falls behind | A progress digest by person and role | planned, not available today |
| [Instructional designer](/elvina/learning-team) | Sets the learning goal and checks the method and the wording | Draft lessons, courses and quizzes from your own documents | available now |

Nothing Elvina drafts reaches your team until a person on your side approves it.

## What Elvina does not do, and when another tool fits

### Elvina does not

- Approve the lessons she drafts; the subject expert or manager for each role does.
- Widen the audience of an approved lesson through a chat request.
- Count delivery as course completion or job readiness; those need their own observations.
- Replace the safety training or qualified person your workplace rules require.

### Another tool fits better when

- The procedure itself is still being decided: settle it first, then train on the approved version.
- You need payroll, scheduling or an HR system of record: keep the one you have.
- A quick poll after a meeting is all you need: a survey form is enough.

## Questions

**Q:** Who approves the training?

The responsible subject expert or manager for that role. The author’s draft does not approve itself.

**Q:** Can roles receive different training?

Yes, each role can receive its own training: that is the intended workflow. Confirm role permissions and assignment behavior in the actual environment before rollout.

**Q:** Do we need a separate SOP for each role?

No. One approved SOP can feed several role lessons, each covering only the steps that job performs. The source owner confirms which SOP applies, and a reviewer approves each role's lesson before it reaches that group.
