ELVINA · INTEGRATIONS

Your Google Drive Is Already the Source for Training

Elvina can build training from Google Drive documents in a folder you approve, because Google Drive connects to Company Knowledge directly. This page serves owners and managers whose procedures already live in Drive. Creation Studio turns those files into draft lessons, job aids and quizzes, and a person approves each piece before anyone sees it.

01

What the connection does

Google Drive is one of the direct connections to Company Knowledge, and it lets Elvina read the documents in the Drive folders a person has approved as sources. Those files become sources in Company Knowledge, and each lesson can point back to the document it came from. When a file changes, the lessons that rely on it can be redrafted from the new version for a person to approve. Uploading the same files by hand also works, for teams that would rather not connect Drive.

02

What Elvina reads and what it never changes

Elvina reads only the folders a person connects as sources. It never changes anything in your Drive on its own, and any edit to a document is made by a person.

  • Reads: the documents in the approved folders, such as SOPs, checklists and handbooks.
  • Never on its own: edits, renames, moves or deletes a file.
  • Never on its own: changes sharing settings or invites anyone to a folder.
  • Stays within: the folders you connect, never the rest of your Drive.
  • Keeps: lessons, job aids and quizzes in Elvina rather than in your Drive.
03

How a pilot confirms it

The Drive connection is available now; what a pilot confirms is the scope for your team. Your Google Workspace admin and our team agree on which folders count, then test them on a small folder before anyone relies on the lessons.

  • Pick one folder of approved documents and name an owner for each.
  • Grant read-only access to that folder and note who granted it.
  • Check that a document becomes a lesson draft that cites its source.
  • Edit the document and confirm the lesson changes only after approval.
  • Remove access and confirm Elvina can no longer read the folder.

A worked example

A fictional bridal boutique with two shops keeps its appointment scripts and alteration intake checklists in a shared Drive folder. New consultants learn by sitting in on fittings, and each shop books alterations a little differently. Its pilot connected one Drive folder and checked the scope before any lesson was built.

  • The owner approves one folder with the current scripts and checklists as the training source.
  • Elvina drafts a short lesson on the first appointment, an alteration intake job aid and a quiz on deposit and pickup rules.
  • The owner corrects one step in the fitting lesson, approves the rest and assigns the path to new consultants at both shops.
  • When the alteration timeline changes, the shop manager updates the checklist in Drive and approves the redrafted lesson.
  • At no point does Elvina edit, move or reshare anything in the Drive folder.
05

What stays with a person

A person decides which folders count as approved sources and which document wins when two disagree. A person approves every lesson before it reaches employees and decides when an old one is retired. Keep personnel files, customer data and passwords out of the approved folders, and remove access when the pilot ends or the scope changes.

Questions people ask

Can I create training from Google Drive documents? Yes. Google Drive connects to Company Knowledge directly, and Elvina turns the documents in a folder you approve into draft lessons, job aids and quizzes for a person to review. Uploading the same files by hand works too, if you would rather not connect Drive.

  • Does Elvina change or delete files in my Google Drive? No. Once Drive is connected, Elvina only reads the folders you approve and never edits, moves, renames, deletes or reshares files there on its own. Lessons live in Elvina. If a document needs fixing, a person edits it in Drive and approves the updated lesson.
  • What happens when someone edits a document in Drive? The lesson does not change by itself. The lessons that rely on the document are redrafted from the new version, and a person approves them before employees see the update. How quickly an edit is noticed is agreed and tested in the pilot.
  • Which files should stay out of the approved folder? Anything people should not learn from or see: personnel records, customer data, contracts, passwords and drafts nobody has approved. Keep the folder to the procedures and materials you want taught, each with a named owner.
  • What if our files are in OneDrive or SharePoint instead? Google Drive and Notion are the two direct connections to Company Knowledge. OneDrive, SharePoint and Dropbox are planned, not available today, so raise them in the demo. The manual upload fallback works the same way for those files.
