Med spa staff training: one client journey, every location
Elvina turns your booking, intake and front desk rules into training your practice manager approves. Clinical training and sign-off stay with your licensed providers.
What it’s built for
Open a new location without rebuilding the front desk
Approved once, ready for each new team.
One way to book, consult and check out in every location
A shared standard, plus each location’s own policies.
Your providers stay with clients instead of training new hires
New hires learn the desk basics from one course.
Help new hires settle in and stay
A clear first week. It is not a guarantee.
Hiring keeps coming. BLS projects about 105,100 openings a year for receptionists and about 14,200 for skincare specialists, on average, over 2025–35. For receptionists, all of them come from replacing people who move to other occupations or leave the labor force.
One rule in, a job aid out
- Book the consultation, not the treatment: From your rule
- Send the intake forms before the visit: From your rule
- The client asks which treatment is right for her: Goes to your provider
Approves: practice manager. Anything clinical: your medical director.
How it works
You show me how a visit runs at your practice
Booking policy, blank intake forms, consult scripts, approved aftercare sheets or a walkthrough your manager records.
I build the lesson, job aid and check
Your practice manager approves each one. Anything clinical goes to your medical director first.
Every location gets the same version

Who it trains
- Front desk coordinator: Booking rules, deposits, sending the forms your providers approved, check-in and checkout.
- Patient coordinator: The consultation path, how to explain your packages and follow-up after a visit.
- Assistant: Room turnover, supplies, the handoff to the provider and the aftercare sheet your medical director approved.
- Practice manager: Opening and closing, the daily schedule review and rolling out a new service to every location.
One standard, even when a rule changes
Example: your cancellation window for laser visits moves from 24 to 48 hours. Your practice manager edits one line in the lesson editor, regenerates the lesson and approves it. Each location then opens the updated lesson.
Flagging affected lessons and alerting staff to the change: planned, not available today.

Two ways to start
A demo with my team
30 minutes on Zoom: your roles, your locations and a plan for the first role. Price and timeline come after.
With one location, starting on your own may be simpler. The call is still open to you.
On your own
- Free: One sample from your own rule, before you pay anything.
- Then: I estimate each task before I start, and you approve the cost.

Questions practice owners ask
Do you train injectors or laser technicians on technique?
No. Clinical technique, licenses and device certification stay with your licensed providers and their own programs. I train the front of the practice: booking, intake forms, handoffs, checkout and handing out the aftercare sheets your medical director approved.
Who approves the clinical wording?
Your medical director, or the licensed provider you name. I mark what looks clinical in a draft, and your reviewers read every draft before staff see it.
Do you need patient records?
No. Send policies, scripts and blank forms only, not charts, completed forms, client photos or recordings of clients. The training is built from how a visit runs.
Can the training be in Spanish?
Yes. I ask which language each role reads first and draft each version from the same approved wording. Your practice manager approves each one.
How long does front desk onboarding take?
Most receptionists learn on the job in a few days to a month, according to BLS. Your practice manager decides who is ready after a check on a real visit.
