IN SHORT

What is an SOP change rollout with Elvina?

An SOP change rollout with Elvina carries one revised rule from the source into the lessons, quizzes and job aids that teach it. Operations managers use it when a single policy line changes, such as who takes an escalation. You add the new SOP version beside the old one, Elvina redrafts the material you select, and a reviewer accepts or rewrites each revision. Only approved changes are reassigned. Flagging the material a changed SOP affects is planned, not available today.

Example scenario with sample data.

WHAT HAPPENS NEXT

What happens on the free demo

  1. Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
  2. Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
  3. Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.
01

Who this is for, and when

An operations manager at a boutique hotel group changes one line in the guest complaint SOP: escalation moves from the supervisor to the manager on duty. Six lessons, two quizzes, and a job aid reference the old rule. She needs to see exactly which artifacts are affected, review the proposed diffs, and release only after a reviewer decides. A draft change must not count as a rollout.

02

How it works in Elvina

A change from supervisor to duty-manager escalation produces a lesson diff, revised quiz feedback and a reviewer decision.

  • The operations manager uploads the revised Guest Complaint SOP to Company Knowledge as a new version alongside the old one.
  • Creation Studio compares versions, lists every linked lesson, quiz, and job aid that references the escalation rule (listing them automatically is planned, not available today; today the operations manager marks them), and proposes a diff for each.
  • The regional director reviews the diffs, accepts the lesson and job aid changes, and rewrites one quiz feedback line herself.
  • After approval is recorded, the operations manager reassigns only the changed artifacts to front-desk and night-audit groups on the Learning Platform.
  • Staff confirm the new escalation path on the updated job aid in the Web workspace, built from SOP version 7 only; asking Chat is planned, not available today.
03

A worked example

Picture a fictional group, Lantern Hospitality, with nine properties and 180 front-of-house staff. The source is the Guest Complaint SOP, moving from version 6 to version 7. Linked artifacts are six lessons, two quizzes, and one job aid. The change is the escalation contact for unresolved complaints.

  • The diff identified three lessons, one quiz, and the job aid as affected; three lessons were untouched.
  • The regional director approved the diffs and corrected one quiz explanation before release.
  • Only affected artifacts were reassigned, so staff did not repeat unchanged lessons.
04

What to check before relying on it

Only affected artifacts should change. Delivery follows approval and authorization; a draft is not an automatically completed rollout.

  • The list of affected artifacts matches a manual check of references to the old escalation rule.
  • Unaffected lessons kept their completion status and were not reassigned.
  • The reviewer's approval is recorded before any reassignment happened.
05

Where a person stays in charge

Your team regenerates the linked artifacts and compares them with the previous version; a person decides which to accept. Delivery follows recorded approval and authorization, and a drafted change is not a completed rollout. Elvina does not push changes into property management systems or notify staff outside the Learning Platform. Source version control is the owner's responsibility.

WHERE ELVINA STOPS

What Elvina does not do, and when another tool fits

Elvina does not

  • Decide which revisions to accept; a reviewer approves each one before release.
  • Count a drafted change as a completed rollout.
  • Push changes into property management or other operating systems.
  • Notify staff outside the Learning Platform or manage version control of your SOPs.

Another tool fits better when

  • You need version control for the SOP files themselves: keep your document management system.
  • You need to message staff by text or email about the change: use the tool you already send notices with.
