IN SHORT

A learning audit log, in short

A learning audit log is the dated trail of who changed a lesson, which source version each change used and who approved it, narrowed to the objects and time window an auditor asks about. Quality managers and training leads preparing for an internal or customer audit use it instead of screenshots and memory. Edit entries and approval entries stay apart, and each export carries its timezone and refresh time. The audit log is available now on the Enterprise plan. Work done in outside tools does not appear in it.

Example scenario with sample data.

01

Who this is for, and when

A quality manager at a food distributor is preparing for an internal audit and needs to show who changed the allergen handling lesson, which source version each change used and who approved it. Screenshots from memory will not satisfy the auditor; she needs a trail she can export and date.

02

How it works in Elvina

A revision trail shows who changed a lesson, which source version it used and when it was approved.

  • Open Audit in the Web workspace and set the scope, actor, time window and object identifiers.
  • Elvina shows the revision trail: who changed the lesson, which Company Knowledge version it used and when it was approved.
  • Filter to the entries the auditor asked for and export them with timezone and refresh time.
  • Confirm retention and permissions with your administrator before presenting the log as evidence.
03

A worked example

A fictional company, Prairie Foods Distribution, reviews the Allergen Handling lesson over the previous ninety days. The quality manager scopes the log to that lesson and its source, an allergen policy that went through two revisions in the period.

  • Six revisions appeared, each with the editor, the policy version used and the approver.
  • Two revisions tied to the newer policy version were clearly separated from earlier edits.
  • The export listed every entry with Central time and the log's refresh time.
04

What to check before relying on it

Confirm retention, timezone and permissions in the real product. A marketing example is not an immutable audit system.

  • Every entry has an actor, timestamp and timezone.
  • The source version is named for each revision.
  • Approval entries are distinct from edit entries.
  • The requester's permissions match the scope shown.
  • The export matches what is on screen.
05

Where a person stays in charge

The audit log is on the Enterprise plan; this page is a marketing example, not a certified immutable audit system. Retention, timezone handling and access rules must be confirmed in your live workspace. Elvina records activity inside the platform only; edits in external tools are not visible. A person validates the export before it goes to an auditor.

WHO IT IS NOT FOR

Who this is not for, and when another tool fits

This is not the right fit if

  • You need a tamper-proof evidence store approved by an outside body.
  • Most edits happen in outside tools that the platform cannot see.
  • Your auditor needs records older than the retention set for your workspace.

Another kind of tool may fit better

  • Your current authoring tool, if one designer already builds every course by hand and the team is happy with it.
  • A shared drive, when people only need to find a file rather than learn a task.
