A Cloud LMS for a Team Spread Across Several Locations
A cloud LMS is a learning management system that its vendor hosts and runs, so staff open courses in a browser and nobody at your company maintains a server. This comparison is for owners, operations leads and HR managers with people at several locations.

What a cloud LMS is
A cloud LMS is learning software hosted by its vendor: people sign in through a browser and nobody on your side looks after a server or updates. That matters most to owners and operations leads whose staff are spread over several sites. Elvina also needs no installation, and she adds the part a cloud LMS leaves to you: lessons, job aids and quizzes drafted from your procedures, a group for each site and progress by person, all available now.
The kinds differ on who makes courses, how lessons reach a phone or shared tablet, and what leaves with you.
What happens on the free demo
- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.
What to look for
Moving to the cloud takes the server off your list. It does not decide who writes courses or how a new hire at your third site finds one.
- Who makes courses: your staff in an editor, a bought library, or a tool that drafts from your procedures.
- How a course reaches a site: a link in a phone's browser, an app each person installs, or a shared tablet with personal logins.
- Progress by site: whether each location is a group and a manager sees who finished without building a report.
- Exit: whether your own courses leave as SCORM, xAPI or MP4 files, and how completion records leave with them.
- Staffing: IT for a server, an admin, a course author, or only a reviewer who knows the work.
Where most tools stop
Five ways of running an LMS cover most options for a company with several sites. They are kinds, not products, checked on October 2, 2026, so confirm each cell with the vendor in front of you. The National Institute of Standards and Technology describes software as a service as provider applications on cloud infrastructure, reached through a web browser, while the provider manages the servers. Pew Research Center's 2025 survey found that about nine in ten U.S. adults own a smartphone, which is why phone access belongs on the list.
| Kind | Who makes the courses | How a lesson reaches a location | Progress by location | Export if you leave | Who you need |
|---|---|---|---|---|---|
| LMS installed on your own server | Your team, in the LMS editor or a separate authoring tool | Through your network, so remote sites may need a VPN or access that IT opens | Reports, once someone sets up each site as a group | Usually SCORM, and the database is yours | IT for updates, backups and security, plus a course author. |
| Cloud LMS | Your team in the editor, or a library you subscribe to | A browser link or the vendor's phone app | Branches or groups in most tools, set up by an admin | Ask how your own courses and completion records leave | An admin and a course author. |
| LMS module inside an HR or payroll suite | HR uploads files or assigns library courses | The employee self-service portal or app | Tied to the employee record, so the site comes from HR data | Often narrow, so ask before you build there | An HR admin, plus someone who writes courses. |
| Cloud LMS with a course builder | Your team in a browser builder, sometimes from AI drafts | A browser link or app, often laid out for phones | Groups by site in most tools | SCORM in some tools, while others keep courses inside | An editor with spare hours. |
| AI employee with a learning platform (Elvina) | Elvina drafts from your approved sources and a person approves (available now) | The Web workspace in a phone's browser or on a shared tablet, each person under their own login (available now) | Each site as a group, with progress by person (available now) | SCORM, xAPI and MP4 (available now) | A reviewer who knows the work and a manager at each site. |
How Elvina approaches it
Elvina runs in the cloud with nothing to install, and she has no native mobile app: staff open the Web workspace in a phone's browser. Her difference from a cloud LMS is the course work. Approved SOPs, checklists and recordings go into Company Knowledge with an owner and a version. Creation Studio drafts lessons, job aids and quizzes from them, and a person approves each one, all available now. Today our team does this work with you on the platform, and Elvina picks up each step once it is confirmed.
- A group for each site, assignment by role and progress by person on the Learning Platform (available now).
- SCORM, xAPI and MP4 export (available now); Elvina does not import or play packages built in other tools.
- Reminders, progress digests, scheduled reports to managers and answers in Chat (planned, not available today).
When another tool fits better
If every system must run on your own servers, choose an installed LMS and plan for its upkeep. If your HR or payroll suite has an LMS module and someone already writes courses, keep training beside the employee record. A library suits general topics, and a course builder suits a team with an editor. Elvina fits when courses must come from your own procedures at several sites and nobody has hours to build them. Required compliance courses from accredited providers stay with those providers; Elvina tracks certification dates; reminders before they expire are planned, not available today. Count on a link to your HR suite only if our integrations page lists it and your pilot confirms it.
A worked example
A fictional group of five indoor trampoline parks runs an LMS that a contractor installed on a server at headquarters years ago. It opens only from office computers, so court monitors learn by shadowing, and nobody knows which park finished the rules course.
- The operations director scores the five kinds, starting with how a lesson reaches a monitor on the floor.
- Elvina cannot take in the old SCORM packages, so the court rules manual and party host checklist go into Company Knowledge.
- Elvina drafts four lessons, a court opening job aid and quizzes, and the director approves them after the senior monitor fixes one rule.
- Each park becomes a group on the Learning Platform, and staff share the front desk tablet under personal logins.
- The director checks progress by park herself, since scheduled reports are planned, not available today, and retires the old server.

Who Elvina is not for, and when another tool fits
Elvina is not the right choice if
- Every system must run on your own servers.
- You need a native mobile app: staff use Elvina in the phone's browser.
- Your HR suite already has an LMS and someone writes the courses.
Another kind of tool may fit better
- An installed LMS, when policy keeps every system on your own servers.
- A course library, when the topics are general rather than your own procedures.
