IN SHORT

Put the essential steps within reach

A job aid is a single page a worker keeps at the point of work: the required steps in order, the conditions that mean stop and call someone, and who to call. It serves managers whose staff scroll a long procedure on a phone while customers wait. Elvina cuts an approved procedure down to that one page and lists what she left out so you can restore any exception, and job aids are available now. A manager tests the page with a real worker before it is printed.

Who this is for, and when

A studio manager at a boutique fitness chain watches new front-desk staff scroll a 14-page opening procedure on their phone at 5:30 a.m. while members wait outside. Most of the document is background. She needs the required steps, the conditions that mean 'stop and call someone', and the phone numbers on a single page they can tape next to the register.

How it works in Elvina

A one-page opening checklist separates required steps, stop conditions and escalation contacts.

  • She points Elvina at the approved Studio Opening Procedure in Company Knowledge and describes the moment of use: front desk, before doors open, phone in hand.
  • Creation Studio drafts a one-page aid that keeps required steps and stop conditions and drops explanatory paragraphs.
  • Elvina lists what it removed so she can restore any exception that matters.
  • She tests the aid with a new hire during an actual opening, adjusts the order, and publishes it to the Learning Platform as a resource.
03

A worked example

A fictional chain, Pulse Point Studios, opens four locations at 5:45 a.m. daily. The source is Opening Procedure v7, owned by the operations lead, which covers alarm codes, HVAC, equipment checks, POS startup and what to do if the alarm panel shows a fault. The target is a printed sheet for front-desk staff.

  • A single page with 11 numbered required steps, three shaded stop conditions, and two escalation contacts pulled from the roster.
  • A removal list showing that the rationale for the HVAC pre-start and the vendor history were cut, while the 'alarm fault: do not enter' rule was kept.
  • After the test opening, the new hire asked for the POS step to move earlier; the manager changed it and re-issued the aid.
04

What to check before relying on it

Remove background explanation, not important exceptions. Test the aid with someone doing the actual task.

  • The aid fits on one page at a readable size when printed.
  • Every stop condition from the source appears on the aid.
  • The aid shows the source version it was cut from.
  • Someone doing the real task has used it at least once before rollout.
05

Where a person stays in charge

A job aid is a condensed view of an approved procedure, not a replacement for it. Elvina will not shorten a step in a way that changes its meaning without listing the change, and it will not decide which exceptions are safe to drop. The manager confirms the final sheet and owns re-issuing it when the procedure changes.

WHO IT IS NOT FOR

Who this is not for, and when another tool fits

This is not the right fit if

  • The procedure itself is not approved yet.
  • You want the job aid to replace the full procedure for audits.
  • The task changes every time and no fixed steps exist.

Another kind of tool may fit better

  • A label maker or a sign printer, when one warning at one machine is all you need.
  • Your full SOP binder, for the background and the reasons behind each step.
