Updated

IN SHORT

Update the explanation that a source change affects

Revising a training lesson means updating only the passages that depend on a changed policy or procedure, and getting those parts approved again. It suits operations managers whose approved lesson still teaches an old threshold or step. Comparing old and new source versions, Elvina drafts the changed explanation and practice answer and shows only what moved; rebuilding a lesson after its source changes is available now. Flagging which lessons a changed source affects is planned, not available today, and the prior revision stays on record.

Who this is for, and when

An operations manager at a freight brokerage learns that the carrier-vetting policy now requires a second approval for any load above a new dollar threshold. The lesson that teaches vetting cites the old threshold, and the practice question uses it. He needs the explanation and the practice answer updated from the new policy revision, the changed parts re-approved, and a list of brokers who completed the old lesson.

02

How it works in Elvina

A new escalation threshold leads to a draft change in the explanation and its related practice answer.

  • He links the old and new revisions of the Carrier Vetting Policy in Company Knowledge to the lesson's source references.
  • Elvina identifies every passage in the lesson that depends on the changed threshold and drafts the revised explanation and practice answer in Creation Studio.
  • The draft shows changed parts only, so the policy owner re-approves those without rereading the lesson.
  • On approval, the new revision replaces the old on the Learning Platform, and Elvina lists learners who completed the prior revision.
03

A worked example

A fictional brokerage, Ironwood Freight Partners, employs 45 brokers. The lesson 'Vetting a New Carrier', revision 4, states that loads above one threshold need a second approval. Policy revision 7 raises that threshold and adds a fraud-check step. The lesson's practice question asks about a load just above the old amount.

  • A draft that changes two sentences in the explanation, adds the fraud-check step, and rewrites the practice answer so the old amount no longer triggers second approval.
  • The policy owner approved the three changed parts in one sitting.
  • A list of 39 brokers who completed revision 4, given to team leads with a recommendation to reassign the revised lesson.
04

What to check before relying on it

Reapprove changed parts and identify assigned learners who need the update. Do not silently overwrite the approved version.

  • Every passage that depended on the changed source is either updated or explicitly left unchanged with a reason.
  • Only the changed parts are sent for re-approval, and the approver is the source owner.
  • The prior lesson revision remains available and is not overwritten.
  • Learners who completed the old revision are listed with a proposed action.
05

Where a person stays in charge

Elvina proposes the revision from the difference between two source versions; it does not decide that the old completion no longer counts, and it does not reassign the lesson to anyone without approval. Where the source change is ambiguous, Elvina asks the owner instead of choosing. Narrated video segments that state the old threshold are flagged for re-recording.

WHO IT IS NOT FOR

Who this is not for, and when another tool fits

This is not the right fit if

  • The source change is ambiguous and nobody can settle what it means.
  • You want the approved version overwritten with no record.
  • Most of the course is out of date, which calls for a rebuild.

Another kind of tool may fit better

  • A course library, when the topics are general skills rather than your own procedures.
  • An instructional designer, for a large program with branching scenarios or live workshops.
