IN SHORT

Revoking learning access, in short

Revoking learning access is removing a person or a group from specific training while keeping the evidence that they completed it and leaving unrelated memberships alone. It suits compliance and HR coordinators whose contractors or crews finish an engagement but may return later. Elvina drafts a proposal that separates course access, group membership and organization membership, and shows what each change touches; groups and the completion records behind them are available now. A person with authority applies the change, and the reason is logged.

Who this is for, and when

A compliance coordinator at an electrical contracting firm needs to pull a subcontractor crew's access to the site-specific safety course after their contract ended. She has been asked to make sure the crew's completion records survive for the general contractor's audit, that they keep nothing they should not, and that revoking course access does not accidentally remove them from an unrelated safety-orientation group they still need next quarter.

How it works in Elvina

A revocation proposal distinguishes course access from organization membership and retained history.

  • She names the learners or group, the exact content scope, and the reason for revocation.
  • Elvina drafts a revocation proposal that separates course access, group membership and organization membership, and shows what each change would affect.
  • The proposal confirms that completion records stay attached to each learner's history on the Learning Platform.
  • A person with authority reviews the proposal and applies the revocation, and the action is logged with the reason.
03

A worked example

A fictional firm, Voltage Ridge Electrical, engaged a nine-person subcontractor crew for a hospital project. The crew completed 'Hospital Site Safety Orientation' and holds access to a course library scoped to that project. The contract ended in August; the same crew is expected on a different project in November.

  • A proposal that removes the crew from the hospital project group and its course library while keeping their organization membership.
  • Confirmation that nine completion records and certificates remain visible to the compliance coordinator for the audit.
  • The general safety-orientation group untouched, so the crew can be reassigned in November without re-onboarding.
04

What to check before relying on it

Confirm authority and consequences. Do not delete learning evidence or unrelated account data as a side effect.

  • The revocation scope names specific content or groups, not an entire account, unless that is intended.
  • Completion records and certificates remain after access is removed.
  • Unrelated group memberships are unaffected and listed as such.
  • The action is logged with the authorizing person and the reason.
05

Where a person stays in charge

Revocation removes access, not evidence. Elvina will not delete learning history, certificates or unrelated account data as a side effect, and it does not apply a revocation without a person authorized to do so. Whether an account should be fully deactivated is an administrator's decision outside this skill.

WHO IT IS NOT FOR

Who this is not for, and when another tool fits

This is not the right fit if

  • You need the whole account deactivated, which is an administrator’s decision.
  • You want learning history deleted along with access.
  • Nobody on your side has the authority to approve the change.

Another kind of tool may fit better

  • A course library, when the topics are general skills rather than your own procedures.
  • An instructional designer, for a large program with branching scenarios or live workshops.
