Choose the right sharing boundary
Sharing learning content well means giving each audience its own path: reviewers who comment, staff who are assigned the lesson, and outside readers who receive only an export. It suits knowledge managers and trainers who once saw a reviewer link end up in a client email. Elvina drafts the three handoffs, says what each recipient can see and for how long, and lists the test to run in each role; assigning by role and export as SCORM, xAPI or MP4 are available now. A person tests each link and sends it.

What happens on the free demo
- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.

Who this is for, and when
A knowledge manager at an architecture firm needs to share a new project-closeout lesson with three audiences that are not the same: two partners who will review it, the 40 project managers who will be assigned it, and a client who asked to see the closeout standard. Last time, a link meant for reviewers ended up in a client email. She wants each boundary to be explicit and tested.
How it works in Elvina
A draft handoff separates internal review access from learner assignment and public distribution.
- She identifies the approved artifact in Creation Studio, the three audiences and the permitted destination for each.
- Elvina drafts a handoff that separates internal review access, learner assignment on the Learning Platform, and external distribution as three distinct actions.
- For each boundary, Elvina lists what the recipient can see, for how long, and what a test in that role should confirm.
- She tests each link in the receiving role before sending, and records the destinations covered.
A worked example
A fictional firm, Meridian & Hale Architects, has 120 staff. The lesson 'Project Closeout Checklist', revision 1, is ready for review. Partners get review access for a week; project managers will be assigned after approval; the client receives only a PDF export of the checklist section, not the lesson.
- Three handoffs: a review link for two partners, an assignment plan for the project-manager group, and a PDF export for the client.
- A test showed the review link, opened from a project manager's account, was correctly refused.
- The client PDF contained the checklist section only, with the firm's internal source notes removed.
What to check before relying on it
Test access in the receiving role. Sharing a link is not proof that the recipient can or should open it.
- Each audience has its own access path, with no shared link across boundaries.
- A test in the receiving role confirmed what each audience can and cannot open.
- External exports exclude internal source notes and reviewer comments.
- The handoff record lists every destination and its expiration date.
Where a person stays in charge
Sharing a link proves nothing about whether the recipient can open it, or should. Elvina drafts the boundaries and the tests; a person runs the tests and sends the links. External distribution to a client happens through the firm's own channels. Whether the firm's document system can receive content directly is confirmed per deployment.
Who this is not for, and when another tool fits
This is not the right fit if
- You want one public link that works for everyone.
- You need the content pushed straight into a client’s document system.
- The material is not approved yet for the audience you have in mind.
Another kind of tool may fit better
- A course library, when the topics are general skills rather than your own procedures.
- An instructional designer, for a large program with branching scenarios or live workshops.
