A Work Instruction Anyone Can Follow on the Floor

A work instruction template breaks a task into numbered steps, each with the key point that makes it right, the reason behind it and a photo of the result. It is for owners and leads who need new people to do a task the same way on every shift.

IN SHORT

A work instruction template, in short

A work instruction template is the step-by-step sheet for a single task at one station: what to do, the detail that decides whether it comes out right, why that detail matters, a picture of the finished step and how someone confirms it. Leads fill it out by watching the person who does the task most reliably. Elvina fills a sample for one station role with photos as placeholders, then drafts a short lesson, a station job aid and a quiz, plus translations for crews that speak other languages, all available now.

Keep each instruction to a single task at its station.

WHAT HAPPENS NEXT

What happens on the free demo

  1. Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
  2. Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
  3. Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.
01

When to use it

Write one when a task repeats, mistakes cost money or customers, and new people learn it by watching someone. An SOP tells you what the process is and who owns it. A work instruction shows how one task inside it is done, step by step. A job aid is the short version people glance at while working, and it is usually cut from the work instruction.

02

How to fill it out

Watch the person who does the task well and write each step as it happens. Record the steps in the blank CSV version of the table, one row per step, and note the task, station, tools, version and owner at the top of your copy. The first row is filled in from a fictional florist with three shops.

  • Step no. and step: the order, and one action that starts with a verb.
  • Key point: what makes the step right, such as an angle, an order or a setting.
  • Reason: why the key point matters, in one line.
  • Photo of the result: what the step looks like when it is right.
  • Check: how the person or a lead confirms the step was done.
  • Safety note: a warning that belongs to this step, if any.

03

How to read the result

Test the instruction before you publish it: give it to someone who has never done the task and watch without helping. Each place they hesitate or ask a question marks a step to rewrite or a photo to add. When an experienced person skips a step, ask why. Sometimes the shortcut is right and the instruction is wrong, so update it and increment the version number.

04

Where a person decides

The task owner approves the instruction and decides when a new version replaces the old one; Elvina never changes a procedure on its own. Once the steps and photos are in Company Knowledge, Elvina uses Creation Studio to draft a short lesson, a station job aid and a quiz from them, available now. Translation is available now too, for teams that work in more than one language. A lead signs off on each piece before the Learning Platform hands it out, then watches the first real attempt.

WHO IT IS NOT FOR

Who this is not for, and when another tool fits

This is not the right fit if

  • You need the whole process with roles and owners written down.
  • The task changes with every order and has no fixed steps.
  • You want Elvina to change a procedure without the owner signing off.

Another kind of tool may fit better

  • An SOP, when the question is who owns the process rather than how one task is done.
  • A phone camera or a screen recorder, when a short video of the task says more than steps.
