ELVINA · COMPARE
Can We Just Use Claude or Gemini for Staff Training?
Claude, Gemini and ChatGPT can help you draft training from your files, but staff training also needs approved sources, a person's sign-off, assignment by role and progress records. This comparison helps owners and managers who already use a general AI assistant decide whether it is enough.

General AI assistants for staff training, in short
Using a general AI assistant for staff training means drafting from your files with Claude, Gemini or ChatGPT. That covers the first draft. Staff training also needs approved sources, a person's sign-off, assignment by role and progress records. Elvina is built for that whole job: lessons, quizzes and job aids from approved sources, sign-off before staff see them, and assignment with progress per person are available now.

The short version
Use a general AI assistant for one-off drafts and your own productivity. Use Elvina when training has to reach a team: built only from approved sources, signed off by a person, assigned by role and tracked until people are ready.

What general AI assistants are built for
All three vendors present their assistant as a helper for everyday work. Each person uses it with the files and apps that person can reach. Anthropic's product page lists first drafts, edits shown as tracked changes for review and action items pulled from meeting transcripts, plus projects that keep context, instructions and files together. Google says Gemini drafts in Docs and Gmail, summarizes across Drive and can help create onboarding materials for new hires. It also offers Gemini Notebook, which works from documents you upload. OpenAI's help center says ChatGPT projects hold chats, files and instructions, can be shared with a team and help draft briefs and plans.
- Drafting and editing documents, emails and first versions of training material.
- Working from files you add to a project or reach through connected apps such as Google Drive.
- Admin controls on team and business plans.
- Google says business data does not train its models, and OpenAI says the same by default.
- A ChatGPT plugin called Company Knowledge, which answers each user from files that user can already see.
Where Elvina is different
Elvina is built for one job: getting a team ready and keeping its work up to your standards. The difference starts with the source. In Elvina, Company Knowledge holds only the files a named person approved. Lessons come from that standard, not from whatever a user can open. The ChatGPT plugin with the same name answers each user from the sources that user can access. That is a different job. Nothing in Elvina reaches employees until an approver signs off. Your manager assigns lessons by role, site or group on the Learning Platform, which records who finished each lesson and its check. Today our team runs the build on the platform alongside you, and Elvina takes each step over once it is confirmed.
- Lessons, quizzes, job aids and avatar videos drafted only from approved sources (available now).
- Assignment, groups and progress for every person (available now).
- A first-week readiness check (available now); reminders to finish are planned, not available today.
- Answers to staff in Chat from approved knowledge only (planned, not available today).
When general AI assistants are the better choice
A general assistant is the simpler choice when the work is a one-off or only for you. Writing an announcement, a policy outline, meeting notes or a job post does not need assignment or progress tracking. If your company already pays for one of these assistants, use it for that work. Elvina would only add steps you do not need there.
- One-off drafts and edits that one person reviews.
- Your own email, notes, research and summaries.
- Trying out ideas before anything becomes a company standard.
Moving over or running both
There is little to move. Keep the assistant for personal drafting, and run the training program in Elvina. If a manager drafts a procedure with an assistant, a person reviews it first. Then it can become an approved source in Company Knowledge. Decide which document is the standard for each procedure, so a fresh chat answer and the approved lesson never compete.
