A SweetProcess alternative, in short
A SweetProcess alternative is usually one of two things: another tool that documents and runs procedures, or an AI employee that trains people on the procedures you already have. Elvina is the second kind. Creation Studio turns one approved procedure into a lesson for each role, a job aid and a short check, with an approver signing off before anyone sees them, all available now.
It compares SweetProcess and Elvina directly, using SweetProcess's own pages checked on October 19, 2026.
What happens on the free demo
- Book 30 minutes. Pick a time with Elvina's team. The demo is free and runs on Zoom.
- Show the team your goal. Bring one role or one procedure. The team shows how Elvina would handle it, using sample materials.
- Agree on the next step. You leave with a plan for the first step and its price. Nothing reaches your team until you approve it.
The short version
Keep or choose SweetProcess if you need a procedure library your team writes, versions and runs as checklist tasks. Choose Elvina if the procedures exist and what you lack is training built from them, assigned by role and signed off by a person before anyone sees it.
| What you need | SweetProcess | Elvina |
|---|---|---|
| A library of procedures, policies and processes | Yes, with version history and rollback | No. Elvina keeps only the approved copy she builds training from |
| Running a procedure as a checklist task | Yes, staff check off each step until the task is done | Not offered; keep tasks in your task tool |
| A first draft written with AI | SweetAI drafts a procedure from a title or short description; a screen recorder writes the steps as you work | Drafts come only from material a named person approved |
| Teaching the procedure to a new hire | Assign it as a task and attach a quiz | A lesson per role, a job aid and a check, available now |
| Sign-off before people see it | Managers approve drafts and suggested changes | An approver signs off before anything is published, available now |
| Follow-up on who is behind | Task tracking and quiz completion | Progress per person, available now; reminders are planned, not available today |

What SweetProcess is built for
SweetProcess says its job is to document processes, procedures and tasks in one place. A procedure is written step by step, with files, images or video in any step. Policies sit beside procedures, and a process chains several procedures into one workflow. Any procedure can become a task that staff check off step by step, with forms to capture data along the way. Teammates suggest changes, managers approve them, and version history lets you roll back to any version. SweetAI can write a first version of a procedure from its title. A quiz attached to a procedure must be passed before that task counts as completed.
- A public or private knowledge base built from existing procedures and policies.
- Process maps that lay out each decision and step.
- Export of procedures and policies to PDF and Word.
- One plan with every feature, billed for the people you add.
Where Elvina is different
In SweetProcess, training happens on the procedure itself: people read it, run it as a task and can be asked to pass a quiz on it. Elvina treats the procedure as a source and builds a separate layer of training on top of it. SweetProcess's help center describes a SweetAI mode that drafts from a procedure's title; Elvina drafts only from material a person approved in Company Knowledge.
Creation Studio turns one procedure into a lesson for each role that uses it, a job aid to use on the job and a short check, all available now. Each piece waits for the approver's sign-off. Your manager then assigns it on the Learning Platform, which records every person's progress. For now, the build is carried out by our team alongside yours, and Elvina picks up each part once it has been confirmed.
- Avatar video lessons, translated versions and SCORM, xAPI or MP4 export (available now).
- Reminders to start lessons and progress digests for managers (planned, not available today).
- Manager reports on a set schedule (planned, not available today).
- Chat answers for staff from the same approved sources (planned, not available today).
When SweetProcess is the better choice
SweetProcess fits better when the procedures themselves need to be managed and run. Say your team writes SOPs and policies and needs approvals and version history. If the work itself should also run as checklist tasks, with data captured along the way, SweetProcess is built for exactly that. It also fits if clients should read your procedures in a public knowledge base. Elvina does not store or version SOPs as a system of record, and she runs no checklists or tasks.
- Your team writes and versions procedures in its own editor.
- Everyday work should run as checklist tasks inside the same tool.
- Clients should be able to read your procedures in a public knowledge base.
Moving over or running both
You can use both and move nothing. SweetProcess stays the record of how the work is done and where it gets checked off. Export the live version of the procedures a new hire must learn, as PDF or Word, and add them to Company Knowledge with an approver. New hires learn the procedure in Elvina first, then run it as a task in SweetProcess. When a procedure changes there, bring in the new version so the lesson is redrafted and approved again.
