HRIS and payroll partners: the hire record can start training
An HRIS and payroll AI training integration (planned, not available today) would let a new hire record in your system start role-based training in Elvina, after a pilot confirms the connection. This page is for HR, payroll and workforce software companies whose customers hire hourly staff all year. A person approves every change, and Elvina never runs payroll or benefits or writes into your system.
Who this is for
Product and partnership teams at HRIS, payroll and workforce management companies. Your system already knows who was hired, into which role, at which location and on which date. Yet training for that person often starts by hand, in another tool, after the fact. The U.S. Bureau of Labor Statistics reports a preliminary 5.2 million hires in August 2026, and it counts every addition to the payroll as a hire.
What embedding means
Here, embedding means the hire record becomes the trigger for training, not a second round of data entry. With an approved connection, Elvina reads roster fields such as role, location and start date, proposes a learning group in the Learning Platform and shows the reason. A person confirms each mapping before access changes. The role program itself comes from the employer's approved sources in Company Knowledge. Separately, on the Enterprise plan a customer can provision user accounts through SCIM and sign in with SSO (SAML); that covers access, not which training a role gets.
| Data or action | What Elvina does | Status |
|---|---|---|
| New hire, role, location and start date | Reads them through an approved connection | Tested in a pilot |
| Learning group for a new hire | Proposes one with a reason; a person confirms | Tested in a pilot |
| End date for a departing employee | Reads it so a person can remove training access | Tested in a pilot |
| Pay, taxes and benefits | Not requested and never changed | Out of scope |
| Records in your HR system | Never written or edited by Elvina | Never |
How a partnership starts
It starts with a demo and a look at your data model: which events your system emits when someone is hired, changes role or leaves. We write down which fields a connection would read and with what permissions. A joint pilot with a few of your customers then tests the mapping, the employee departure rule and the failure cases before anything is announced.
What we need from you
A product owner, documentation of your hire, change and termination events, and a sandbox with test records. Each pilot customer must consent and name someone who owns their role programs and confirms each mapping.
What we do not promise yet
We do not promise a live connector to your system, an integration date or a listing in your marketplace. Elvina does not run payroll, administer benefits, file tax forms or manage employee records, and she never writes into your HR system. Reading and the connection itself are confirmed in the pilot, and any change to access is approved by a person. HRIS partner terms are discussed separately with each company.
Questions people ask
How does an HRIS or payroll system integrate with AI training? Through a connection that reads hiring, role change and employee departure events. In Elvina, a new hire record can lead to a proposed learning group and a role program, and a person confirms each mapping. The connection and its fields are confirmed in a pilot before customers rely on it.
- Does Elvina run payroll or manage benefits? No. Elvina does not run payroll, manage benefits, file tax forms or keep employee records. She reads the roster fields a connection allows, so training can start on time, and she never writes into your system.
- What happens when an employee leaves? The connection reads the end date from your system, and Elvina proposes removing training access. A person confirms it. How departing employees, rehires and duplicate records are handled is tested with real cases in the pilot.
- Which customers fit a first pilot? Customers that hire hourly staff often, across more than one location, and have a manager willing to own the role programs. Clean job codes in your system make the mapping test meaningful.
